Linkage Inc. and Linkage Accounting Office (hereinafter referred to as “the Company”) comply with laws and regulations related to the Act on the Protection of Personal Information and handle personal information provided by our customers with the utmost care. This privacy policy explains how the Company handles customers’ personal information.

Personal information refers to information that can identify an individual, including:

Name, address, phone number, email address, etc.

Information that cannot identify a specific individual on its own but can do so easily when combined with other information

Personal information collected from customers will be used for the following purposes in addition to other purposes:

・To provide and operate the Company’s services

・For recruitment purposes

・To respond to inquiries from users (including verifying the identity of the individual

Safety Measures for Personal Information

We make every effort to manage and operate personal information safely and implement reasonable and appropriate measures to prevent risks such as unauthorized external access, loss, damage, destruction, alteration, leakage, or unauthorized external disclosure of personal information.

In addition, we appoint information management officers for each department handling personal information and strive for appropriate management while establishing information security regulations and ensuring thorough awareness among employees.

Provision to Third Parties

Personal information will not be disclosed or provided to any third party except in the following cases:

・With the consent of the customer

・When outsourcing handling to external contractors for smooth business operations (in such cases, we select contractors with adequate protection standards and establish contractual obligations to prevent leakage or re-provision, ensuring appropriate management)

・When disclosure is required by law or regulations

・When necessary to protect human life, body, or property and it is difficult to obtain the customer’s consent

・When cooperation is required for the performance of legal duties by national or local government agencies or their contractors, and obtaining consent may interfere with the execution of such duties

Procedures for Disclosure of Personal Information

1.Eligible to request disclosure: the individual, a statutory agent, or an authorized representative (an agent entrusted to request disclosure)

2.Identification documents for requests:

・For the individual: driver’s license, passport, health insurance card, pension book, foreigner registration card

・For requests by someone other than the individual: identification of the individual and the agent, and documents proving the agent’s authority (e.g., a notarized power of attorney with the individual’s signature and seal)

・For statutory agents: e.g., family register, residence certificate

3.The Company’s Information Management Department handles requests for disclosure of retained personal data. A fee of 5,000 yen applies for the disclosure procedure.

Correction of Information

If the content of personal data retained by the Company is found to be inaccurate through the above disclosure procedure, we will take steps to correct, update, or add information as necessary.

Suspension of Use of Personal Information

If the Company uses personal information beyond the stated purposes, acquires and uses personal information by unlawful means, or provides personal information to third parties not specified by the Company, the Company will, upon request, suspend use or delete such information.

Those who wish to request disclosure, correction, suspension of use, or deletion of personal information retained by the Company should contact the Information Management Department. The Company will promptly notify the requester of the implementation or non-implementation of such actions, and in the case of non-implementation, will provide an explanation.

Handling of Complaints

Complaints regarding the Company’s handling of personal information will be handled by the following department. Reception hours are from 9:00 a.m. to 6:00 p.m. on business days.
